Sales Travel Coordinator – Job Description

Position Overview:
We are looking for a dedicated and detail-oriented Sales Travel Coordinator who can handle client enquiries, design itineraries, prepare competitive quotations, and coordinate all travel arrangements seamlessly for both domestic and international tours.

Key Responsibilities

1. Enquiry Handling & Client Communication

Receive and respond to travel enquiries promptly through calls, emails, or walk-ins.

Understand the client’s requirements carefully — destination, budget, travel dates, hotel type, activities, and preferences.

Maintain professional and proactive communication throughout the sales cycle.

2. Itinerary Planning

Prepare customised day-by-day itineraries for domestic and international destinations.

Suggest the best sightseeing options, hotels, flights, and activities based on client needs.

Ensure itineraries are clear, attractive, and aligned with Trawel Mart standards.

3. Costing & Quotation

Work out highly competitive costing for each enquiry.

Compare rates with vendors, DMCs, hotels, airlines, and portals.

Prepare professional quotations with inclusions, exclusions, hotel names, and pricing.

4. Vendor Coordination

Communicate with DMCs, hotels, transport providers, and activity partners for rates and availability.

Negotiate the best deals and confirm all required services.

Place bookings accurately and ensure confirmations are received on time.

5. Ticketing & Documentation

Book air tickets, hotels, land packages, visas, and travel insurance.

Should have basic knowledge of visa requirements for major destinations.

Coordinate with the ticketing team for fare checks, booking, and issuance.

6. On-Tour Client Support

Follow up with clients while they are on tour to ensure everything is going smoothly.

Handle any issues or last-minute changes with responsibility and care.

7. Post-Travel Coordination

After clients return, collect feedback for quality improvement.

Maintain positive relationships for repeat business and referrals.
