Overview
Key Responsibilities
- General Duties
Coordinate and monitor logistics for transporting parts, materials, and supplies, ensuring timely deliveries.
Work with the in-house sales team to ensure timely and accurate order processing.
Review and approve logistics invoices and related charges (e.g., unloading fees, late fees, non-conformance issues).
Maintain up-to-date Standard Operating Procedures (SOPs) and recommend improvements.
Monitor and follow up on past due orders.
Manage new HS codes and ensure compliance with country-specific documentation requirements.
Handle resolution of custom-held products.
Prepare and process customs documents for international and U.S. shipments.
Generate ad hoc reports as needed (e.g., freight costs).
Maintain Chamber of Commerce certifications.
Lead EDI functions within the logistics department.
- Order Processing / Logistics
Manage, distribute, and process purchase orders and Ship Request Forms.
Handle packing slips, required labels, shipping fees verification, and inventory for orders.
Create and manage shipping documents for customers.
Arrange, book, and track shipments of samples, donations, and tradeshow materials.
Fulfill EDI requirements: invoicing, POA, ASN, and label compliance.
Develop customer-specific process documents and store in SharePoint/Logistics folders.
Maintain accurate records in NetSuite and spreadsheets with current customer information.
Utilize and maintain customer portals.
Resolve issues related to tracking, pricing, RMAs, disputes, and shipping discrepancies.
Monitor logistics costs and research new carriers as needed.
- Reverse Logistics
Provide and process Return Merchandise Authorizations (RMA) to customers.
Coordinate secure product destruction when required, and log related photos/documentation.
Inventory Control / Management / Ordering
Support yearly physical inventory counts in Canada and the U.S.
Act as liaison with operations teams.
Track, measure, and report the status of customer orders regularly.
- Accounting
Review customer deductions and process RMAs using NetSuite.
Approve all shipping-related charges.
Support accounting team with invoicing, cost assessments, and discrepancy resolution.
- Quality Assurance
Ensure compliance with internal procedures and policies for distribution and traceability.
Verify that customer order requirements are met.
Operate in accordance with organizational quality standards and protocols.
- Other Duties
Participate in monthly meetings with warehouses to discuss issues or improvements.
Qualifications
Minimum 4 years of experience in a similar logistics or supply chain role.
Graduation and a college diploma or certificate in Logistics, Supply Chain, or Material Management.
Strong attention to detail and accuracy.
Self-motivated, confident, energetic, and creative.
Team leadership experience is an asset.
Excellent time management and prioritization skills.
Proficient in Microsoft Excel, Word, and PowerPoint.
Familiarity with NetSuite, EDI, and Freshdesk is an asset.
Comfortable working in diverse and dynamic environments.
Remote work experience is a strong advantage.
