Position Title: HR Generalist

Department: Human Resources

Location: Vadodara, Gujarat

Reporting To: HR Manager & Director

Job Summary:

We are looking for a proactive and well-rounded HR & Admin Officer to manage and streamline both core HR functions and administrative operations. The ideal candidate will handle recruitment, employee lifecycle processes, attendance and leave management, statutory compliance, labor law adherence, and office administration. This role is critical for maintaining a compliant, productive, and engaging work environment, especially within blue-collar and field-based teams in the wastewater treatment or infrastructure sectors.

Roles and Responsibilities:

 

Recruitment & Onboarding Responsibilities:

 

Manage the end-to-end recruitment process for both blue-collar and white-collar positions, ensuring timely fulfillment of manpower requirements.
Collaborate with department heads and team leaders to assess staffing needs and develop effective hiring strategies.
Coordinate and facilitate onboarding, induction, and initial training programs to ensure smooth integration of new hires into the organization.
Oversee the employee exit process, including documentation, handover, and full & final settlement.
Liaise with recruitment agencies and job consultants to support hiring for specialized or high-volume roles.
Publish job openings on professional networks such as LinkedIn to enhance talent outreach.
Manage job portal accounts—identify the most effective platforms based on hiring needs, regularly post job openings, and screen applications received.
Maintain detailed recruitment records, including resumes received, candidates shortlisted/rejected, interview outcomes, and hiring statistics for reporting and analysis.
Compliance & Statutory Management

 

Oversee contract labor compliance and monthly documentation verification.
Manage Provident Fund (PF) activities: UAN activation, fund transfers, withdrawals, and KYC updates.
Handle Group Medical Insurance: yearly renewal, claim management, additions, and deletions.
Maintain statutory registers and ensure readiness for internal/external audits.
Stay up-to-date with labor laws and implement any required changes in company HR practices.
Core HR Functions

Manage employee attendance systems and ensure data accuracy e.g., excel sheet, Keka, pocket HR).
Maintain accurate employee records for audits, including payroll, compliance, and documentation.
Address attendance and disciplinary issues in line with company policies and legal requirements.
Support performance management processes and handle performance concerns.
Administer employee benefits and ensure timely grievance redressal.
Administration & Operations

Supervise facility management, housekeeping, and office maintenance.
Oversee day-to-day office administration, including stationery, courier, and vendor management.
Manage admin expenses (imprest) and prepare costing reports.
Organize employee travel, cab bookings, guest house accommodation, and related invoicing.
Coordinate monthly site visits to ensure HR and safety standards are met.
Other Responsibilities

Handle ID card processing and manage distribution of safety gear (uniforms, shoes, helmets, raincoats).
Use task management tools to monitor progress and ensure accountability.
Execute any additional HR/Admin duties assigned by the VP or Director.

Skills & Qualifications:

Bachelor’s or Master’s degree in Human Resources, Business Administration, or related field.
2–5 years of relevant experience in Recruitment, HR & Administration, preferably in infrastructure or utilities sectors.
Solid knowledge of labor laws, statutory compliance, and HR processes.
Proficient in HRIS/MIS platforms and MS Office Suite.
Strong interpersonal, organizational, and problem-solving skills.
Ability to multitask and manage HR activities across multiple sites or departments.
